Getting Started at UBC

Employee ID and Card

Your employee ID number will be assigned by payroll, once they have all your documents to set up your appointment.  Documents needed include Social Insurance number, work permit if required, and address in Vancouver.  Please contact the Human Resources Manager or Department Administrator for your UBC Employee ID number.

The UBC Employee Card is your identification card as well as your UBC library card. It can also provide access to buildings and labs (where applicable). You can also use your UBC Card to pay for food at UBC Food Service locations (Vancouver campus).

You will need to wait 24 hours upon receiving your employee ID number before going to obtain your employee card.  You are able to apply online for the card or in person by bringing in your offer letter, a government-issued photo ID (passport, driver’s license, BC Identification Card, etc.) and your employee number. You can pick up your UBC Card from the UBC Carding Office located at the UBC Bookstore at 6200 University Blvd.

Keys and Building Access

Speak with your department administrator regarding access cards and keys.

To request keys, please complete the key request form and return to the administrator.  You will receive an email when your keys are ready for pick up from Parking Services at the UBC Bookstore. A refundable deposit will be required.

This important login is required for most online UBC services including the Student Information System, the Library, myUBC, WebCT, Research RISE system, Workday portal to view your pay as well as use the recruiting system to view applicants for positions you may post with your administrator. You need your employee number to create your CWL. https://activate.id.ubc.ca/iamweb/

After you have set up your CWL username, the HR Manager and Systems Administrator will request a UBC Faculty and Staff Email (FASmail) for you. This will take a day or two to set up.

Multi-Factor Authentication

Multi-Factor Authentication

UBC uses multi-factor authentication (MFA) to strengthen existing system security measures to keep information secure and help prevent authorized access.  The first component is your CWL login and password.  For the secondary factor there are a number of options you can use: add a mobile number or use landline number; download an app on your smartphone; or use a physical token to authenticate.  Learn about these different methods for secondary authentication on the Privacy Matters Enhanced CWL site.

UBC Virtual Private Network (VPN) is required to access certain UBC systems from off campus.  UBC’s IT website has more information.

If you are having issues with your computer, network access, e-mail messages, Workday or something similar, you can go to the UBC IT Self-Service portal.  From there, you will be able to request a service, report an issue, or search for answers from an IT knowledge base.
